Intake

LawAOS collects enquiries through forms you share by link, tracks each lead through a pipeline, and converts an accepted lead into a matter that reuses the client's contact record.

Client intake software is the part of a law firm's system that captures a prospective client's details, tracks the enquiry until the firm accepts or declines it, and hands the accepted client to matter opening without anyone retyping the information. Good intake keeps the enquiry, the conflict check and the engagement in one record.

Cloud-based intake means the form, the lead list and the pipeline live in a web application the whole team can reach, so an enquiry received on a Saturday is waiting in the same place on Monday.

In LawAOS, public forms collect the enquiry, the Intake module lists leads and moves them through a pipeline from Prospect to Won or Lost, and converting a lead opens a matter that reuses the existing contact. An opt-in guided accept runs the conflict check, AML screen, engagement letter and e-signature before the matter opens.

Forms that match your practice
LawAOS forms support short text, long text, email, phone, number, dropdown, checkboxes, date, file upload, headings and dividers, with form types Client Intake, Consultation Request, Feedback, General Inquiry and Custom.
Protection against junk submissions
Public forms carry a honeypot field and rate limits, so automated submissions do not fill the lead list.
A pipeline with real stages
Leads move through Prospect, Initial Meeting, Proposal Sent, Negotiation, Won and Lost, with referrals and activities tracked on the Intake tabs.
A conversion that does not duplicate the client
Converting a lead to a matter reuses the existing contact record instead of creating a second one.

An estate planning practice usually needs a longer intake form covering family members, assets and existing documents. LawAOS forms handle this with headings, dividers, checkboxes and file uploads, and the answers stay on the lead record for whoever runs the first meeting.

A mid-sized firm needs intake to be shared work. The pipeline gives partners a view of open opportunities by stage, and the AI lead score explains itself: it quotes the signals it used and the score is arithmetic, so a reviewer can see why a lead ranked where it did.

  • Opening the matter before the conflict check is finished.
  • Keeping enquiries in an inbox where only one person sees them.
  • Retyping the client into the practice system after the engagement is signed.
  • Leaving lost leads unrecorded, which hides where enquiries come from and why they do not convert.

  2. Review the lead

Each submission arrives as a lead in Intake with its answers, files and an AI lead score that quotes the signals behind it.

  3. Move it through the pipeline

Move the lead from Prospect to Initial Meeting, Proposal Sent and Negotiation, logging activities and referral sources along the way.

  4. Check conflicts

Run a conflict check on the prospective client and parties before accepting. Guided accept runs it for you when the setting is on.

  5. Accept and open the matter

Convert the lead to a matter. With guided accept, LawAOS runs the AML screen, prepares the engagement letter from a template, sends it for e-signature and can request a trust retainer before the matter opens.

Stated plainly, so you can decide before you sign up rather than after.

  • Intake forms are shared by link and cannot be embedded on the firm's website.
  • Guided accept is off by default; a firm turns it on in settings.
  • LawAOS does not ship pre-built intake form templates; the firm builds its own forms.
  • Forms have no conditional logic or questionnaire branching.
